Youth programs and schools

Program management software for teams, seasons, parents and fees.

Registration with the rules built in, every team as its own group, and parents who hear from the right coach at the right time.

Who this is for.

A youth program has two audiences at once. The students who take part, and the parents who register them, pay for them and need to know where to be on Tuesday. Add coaches, volunteers and a season that starts and ends, and the program office spends most of its time answering the same questions.

Registration is where it usually breaks. Grade levels, waivers, team capacity, a fee that some families pay in installments, and a roster that changes until the first practice. The spreadsheet gets a new tab every season.

NPressive treats the season as a set of registration forms with the rules built in, every team as a group with its coach as manager, and parents as members who can see their own child's schedule, payments and messages.

What usually goes wrong.

Registration is a form and a spreadsheet

The form collects the answers. Someone still has to check the grade, chase the waiver, count the seats and enter the payment.

Coaches message from personal phones

Each coach keeps their own parent list. The office does not know what was sent, and a parent who changes numbers falls off.

Fees are hard to collect in full

Families need installments, the office needs to know who has paid, and reminders are awkward to send by hand.

Every season starts from zero

Last year's families, teams and forms are in old tabs. Nobody wants to rebuild them.

How NPressive helps.

Registration with the rules built in
Season forms with grade level conditions, waivers, capacity per team and waitlists. A fee paid in full or in a payment plan, with reminders that send themselves.
Teams as groups
Every team is a small group with its coach as manager, its own files and a message thread parents actually read. Rosters move with the season.
Parents as members
A parent signs in with a link, sees their children, the schedule, payments and messages in one place, and updates their own contact details.
The season repeats itself
Duplicate last year's registration and events with one instruction to Navigator. Change the dates, keep everything else.
Ask, do not dig
"Which 6th graders have not paid" or "who is on the Tuesday roster" is a question, not a report.

A typical week.

What running on NPressive looks like day to day.

  1. Registration opens

    Families sign up

140 registrations in the first week. Waivers signed in the form, fees paid in full or in four installments, two teams hit capacity and start a waitlist.

  2. Monday

    Rosters settle

Coaches see their team's group fill. Navigator flags 6 registrations missing a waiver and drafts the reminder.

  3. Tuesday

    Practice reminder

An SMS reaches the parents of the 6th grade robotics team with the room change. Only them.

  4. Thursday

    Installment run

The second payment collects automatically. The office sees three failed cards and the retry notices already sent.

  5. Season end

    Showcase

The showcase event registers families and guests with capacity, and next season's forms are duplicated in an afternoon.

Questions people ask.

Something else? Ask us directly.

Can parents pay a season fee in installments?

Yes. A registration can offer full payment or a payment plan, and the installments collect automatically on the schedule with reminders before each one.

Can a form ask different questions by grade or age?

Yes. Registration forms support conditions, so a field appears only when an earlier answer calls for it, and capacity can be set per team or level.

Can coaches message their own team without seeing everyone?

Yes. A coach manages their team's group and messages only its parents. The office can see what was sent.

Do we need a waiver?

Waivers and agreements are part of the form, recorded with the registration, and stored on the family's record.

Can we reuse last season's setup?

Yes. Events and forms can be duplicated with all their settings. Navigator can do it from one instruction and change only the dates.
